This position is a shared project resource to help cover peak workload demands across the Secretariat team in GM&T UK. ROLE OBJECTIVES This position is a shared project resource to help cover peak workload demands across the Secretariat team in GM&T UK. DUTIES & RESPONSIBILITIES Provide full administrative support to senior leaders, ensuring the smooth circulation of documents / post / information / calls / making travel arrangements, including itineraries, venues and accommodation allow for the most effective use of time, acting as first point of call. Understand status of all ongoing projects, proactively follow up on deadlines and deliverables, and coordinate responses Maintain an effective internal filing system (hard copy and electronic) On a project basis, provide support to other Business units and support functions within GM&T to ensure efficiency and cost cutting. Provide Russian language support to those areas of the business which lack this resource, as and when required As a confident SAP user, process expense reports and POs within P2P process. Provide efficient cover for other Secretariat team members whilst on holiday SKILLS & COMPETENCIES Equally fluent in both Russian and English. Other European language skills would be a benefit (e.g. French) Strong team player Excellent interpersonal skills and relationship management capabilities Excellent understanding of secretarial activities Excellent organisation / time management skills Strong Microsoft Office computer skills Good secretarial skills (e.g. touch typing). Concern for accuracy and ability to meet tight deadlines Excellent written and verbal communication skills Proactive approach to all aspects of the role Mature and professional attitude to work Quick learner who can operate even with minimum info provided Able to cope well under pressure Able to cope with multiple priorities and changing environment Diligent and dependable Able to work as part of a team as well as individually EXPERIENCE Previous experience in PA and/or EA positions within a corporate and busy trade floor environment Experience of working in an international organisation with overseas parent companies an advantage Knowledge of Russian business environment an advantage EDUCATION Strong academic track record Degree level education (or equivalent) preferable Formal secretarial training preferred but not essential
